Guide to using Permuter-F

Permuter-F is a freeware for the MS Word macros users. Permuter-S is recommended for those who do not use Word macros.

1.　Initial settings

  1. Download permuter_f1.zip.
  2. Create a folder for Permuter named as you like as a subfolder of the Document folder, save permuter-f1.zip there, and extract it (Right-click on permuter_f1.zip and click Expand all). The figure below shows an example of creating a folder named Permuter and saving permuter-f1.zip.
    (If Permuter is installed in a folder other than subfolders of the Document folder, for example in a subfolder of the Program Files folder, it may be troublesome that the message is dispayed to confirm if you are the system administrator each time the translation memory or various setting files are read or written during translation process).


  3. Double-click permuter_f1.dotm when extracted and displayed.
    At this time, a warning may be displayed depending on the security setting of Word.

    　　　

    When the Security Warning message bar is displayed as above, click Enable Content.
    If other warnings are displayed, change the security settings of Word accordingly.
  4. If you copy two files permuter_f1.dotm and pmtrpath.inf among the decompressed files into the \Word\STARTUP folder, the Start Permuter [Start Permuter] icon will always be displayed when you open any Word document and can translate it as the source document.
    If you change the extension (dotm) of permuter_f1.dotm in the \Word\STARTUP folder to other than dotm (e.g. dotmstop), the Start Permuter icon will not be displayed. When you restore the extension to the original dotm, the icon will be displayed again.
    In case that two Start Permuter [Start Permuter] icons are displayed, move the original permuter_f1.dotm (before copied) temporarily to another folder, or change the extension to characters other than dotm.
  5. If you do not like to copy two files permuter_f1.dotm and pmtrpath.inf into the \Word\STARTUP folder, you can double-click permuter_f1.dotm in the Permuter folder as if it currently started to display the Start Permuter [Start Permuter] icon. In this case, paste the source document on Document 1 and translate it.
    In either case, the subsequent Permuter operations in translation work are same.
  6. The Start Permuter [Start Permuter] icon is displayed on the Quick Access Toolbar of Document1
    　　　
  7. When you exit Word, the initial setting is completed.

2.　Translation procedures

Click the Start Permuter [Start Permuter] icon to open the Translation from English to Japanese dialog. Although you can perform the translation with only this dialog, it is recommended to open two types of dictionaries by Maruo Editor by clicking on the Open the Dictionaries in Settings button as shown four panes below in order to select or change word entry in the dictionaries during the translation.

When placing the cursor on a source sentence of the Word document or selecting a translation range and highlighting it and clicking the Take button of the Translation from English to Japanese dialog, three types of translations will be displayed as shown above.

  1. The source sentence in the translation memory is displayed in the box under the Matched translation memory source title, and the translated sentence with the highest degree of matching in the translation memory is displayed below the source box.
  2. The sentence translated by Google Translate is imported in the Google Translate box.
  3. Translation based on dictionaries is displayed under the Translation based on the dictionaries title.

Click a preferred one of translation boxes and modify it as necessary. When you click the Place button, the translated sentence is inserted after the source sentence in the Word document as shown below, and the source sentence is hidden.

2-2. To change a translated word:

Changing and overwriting a translated word in a dictionary is refleted on later translations. For example, in order to change the translated word "テスト" to "試験"　in the above translated sentence under the Translation based on the dictionaries title, you first place the cursor on the source word in the source sentence and click the Find word button, then "test" in the dicejp.txt and dicejp.txt files on the right-hand side are highlighted.
Next, move the line of translated word "試験" to a position upper than the line of "テスト" and overwrite the dictionary file. Since the dictionary files are read from top to bottom, words at higher positions have a higher priority. If an appropriate translation is not listed, enter the appropriate translation and overwrite the dictionary file. Changing the translated word(s) of the dictionary and clicking the Take button reflect the chang in the translation.

When you click the Find word button, the source word "test" is copied to Clipboard and the Paste operation (right-click and select Paste or press Ctrl+V) can paste it on a text editor or any applications that handles texts. It is useful for entering the search phrase at web navigation or searching words in another dictionary application.

2-3. To finish the translation:

When completing all the translations of the source document, all the source sentences should be hidden. When you click the Erase hidden sources button on the Settings dialog, all the hidden source sentences are deleted and only the translated target sentences are left.Save it as the complete translated document.

3.　Settings

Clicking the Set button on the Translation from English to Japanese dialog opens the Settings dialog as shown below:

Plain text files (*.txt file ending) are used for dictionaries of Permuter which are opened in the Hidemaru Editor. Each lines consisting of a source word and a translated target word delimited by a tab character in the dicejn.txt file or each lines consisting of a source word, a part-of-speech code and a translated target word delimited by two tab characters in the dicejp.txt file are read from top to bottom. The first matched source word or idiom in each lines is used for a chosen source sentence translation. Therefore, list lines in descending order of source word length for the higher priority of the translated target word at higher position. Bt the way, add a character such as an asterisk (*) or crosshatch (#) character to currently unused words in the dictionary but easy to recover for future use by removing them.
Three types of dictionaries are used, the E-J (English-Japanese) noun dictionary, the EJ (English-Japanese) part-of-speech-coded dictionary and the JE (Japanese-English) dictionary which are corresponding to the dinejn.txt, dicejp.txt and dicje.txt files in default setting.
Out of the above three dictionaries, each line of only the EJ part-of-speech-coded dictionary contain a source word, a part-of-speech code and a translated target word delimited by tab characters.
If you change the format of your own dictionary to the format as explained above, you can specify such your own dictionary to be used in the translation instead of the default dictionary or you can insert it at the top of an appropriate one of the above default dictionaries and overwrite it to give higher priority than default dictionary contents.

・ [From English to Japanese]
　　If you choose this option button, English-Japanese translation will be performed and the dialog title is changed to "Translation from English to Japanese.
・ [From Japanese to English]
　　If you choose this option button, Japanese-English translation will be performed and the diaolgtitle is changed to "Translation from Japanese to English.

[Translation condition]
[Translate uppercase words also.]
　　If you check this box, capital letters will also be translated.If you uncheck it, uppercase words are not translated.
[Place a bullet between Katakana words.]
　　If you check this box, midspot(s) will be inserted between consecutive Katakana words.

[Suffix desu-masu form]
　　If you check this box, the translated sentence will be ended in the Desu-Masu form in Japanese.If you uncheck it, it will be ended in the Dearu form in Japanese.

[Erase the source instead of hiding it]
　　If you check this box, when you click the Place button, the source sentence will be deleted but will not be hidden and no more exist.
　　If you uncheck this box, the source sentence will remain to exist but be hidden.
　　By the way, if you click Show All [Show all] on the Home tab of Word, you can switch to show and
　　hide all the editing marks and hidden texts.

[Use Google Translate]
　　If you check this box, translated sentence by Google Translate will be displayed in the Google Translate box.
　　If you uncheck it, no translation will be displayed.

[Japanese font:]
　　Japanese font of translated sentence can be specified.

[English font:]
　　English font of translated sentence can be specified.

[Dictionaries]

[Open the dictionaries]

If you click the Open the dictionaries button and Maruo Editor has been installed, the dictionary file(s) specified in the box(es) will be opened by Maruo. This function is invalid unless Maruo is installed.

The dictonary file(s) will be opened at the lastly adjusted position and size, if you start Maruo Editor, select the Other menu item, select the Environment open list item, check the Advance box, select the Arrangement item under the Window list item, check the Resume last window position box and the Each file box and click the OK button.

[E-J noun dictionary (text file listing source and target words delimited by tab)]

Specify the full path to the English-Japanese noun dictionary file here. This dictionary is a text file consists of every lines of a source word and a target word delimited by tab. Enter the full path to the noun dictionary file or browse it by clicking the [Browse] button. By default, C:\Users\user name\Documents\permuter\sample\dicejp.txt is specified. When creating your noun dictionary file, please adapt the format to this sample file and specify your own file name.

[E-J part-of-speech-coded dictionary (text file listing source word, part-of-speech code and target word delimited by tab)]

Specify the full path to the English-Japanese dictionary file containing part-of-speech codes here. This dictionary is a text file consists of every lines of a source word, a part-of-speech code and a target word delimited by tabs. Enter the full path to the dictionary file or browse it by clicking the [Browse] button. The part-of-speech codes are N for noun, V for verb, P for preposition, etc. Based on those, nouns before and after a preposition is switched in the translated Japanese sentence, and a verb is moved to the end of the following noun group also in the translation. By default, C:\Users\user name\Documents\permuter\sample\dicejp.txt is specified. When creating your dictionary file containing part-of-speech codes please adapt the format to this sample file and specify your own file name.

[J-E dictionary (text file listing source and target words delimited by tab)]

Specify the full path to the Japanese-English dictionary file here. This dictionary is a text file consists of every lines of a source word and a target word delimited by tab. In the Japanese-English translation, matched source words are simply replaced to the target word in the translated sentence based on this dictionary, and no word order in the sentence is changed in the translation.

Note: The dictionary files are read from top to bottom, and the firstly matched source and target pair is used for the translation. In order to sort in descending order of the number of characters of source words, you can download the following Excel file sort1.xlsm.

[Translation memory (TM)]
　　Specify the translation memory file to be used here.

[%Match Threshold:]

The translation having the highest matching% exceeding the threshold percent specified in this box is displayed under the Matched translation memory source title.

[Copy translation to the clipboard]

If you check this box, when you click the Place button of the Translation from English to Japanese dialog, the translation is copied to the Clipboard. You can paste it in another editor, etc. in parallel with the translation work on Word using Permuter.

When you click the OK button, the items displayed in the Settings dialog are saved and the changes take effect.

If you click the Cancel button, all the changes in the Settings dialog are canceled.

4.　Editing Word macros
  1. Change the extension of permuter_f1.dotm in the C:\Users\user name\AppData\Roaming\Microsoft\Word\ STARTUP folder to other than dotm such as permuter_f1.dotmxxx. Restore it after finishing the macro work.
  2. Double-click permuter_f1.dotm in the folder for Permuter under "C:\Users\ user name\Documents".
  3. Click the Developer tab and then click Visual Basic.
  4. Click the "+" mark in Permuter_F (Permuter_f1) in the project box to expand it to Microsoft Word Object, Form and Standard Module.
  5. Choose the necessary item and edit the macro as you like.

5.　Translating Excel sheet or PowerPonit slide

5-1.　Translation of Excel sheet

  1. To translate the sentences on the Excel sheet, download the Excel macro from2text.xlsm and double click it.
  2. Copy the source sheet you want to translate and paste it on any sheet (Sheet1, Sheet2 etc.) of from2text.xlsm.
  3. Clicking Macros on the Developer tab displays the macro name "from2text" in the Macro name box. Clicking Run displays the From or To Text File dialog as shown below.

  4. The text file name "from2text.txt" is displayed by default in the Enter or browse a text file path to read from or write into box to be saved with all texts read from the copied source Excel sheet.
  5. After changing the text file name as necessary, click the Retrieve texts button, all the texts are read from the Excel sheet and saved in the specified text file.
  6. After translating the text file by using Permuter, you will replace the source sentences in the Excel sheet into the translated sentences based on the generated TM. Before doing so, however, you first rearrange all the lines of the source-translation sentence pairs of the TM into descending order of the number of characters of source sentences. For rearranging, download the executable file sort_descend.exe and double click it, then the following dialog will be displayed:

  7. Enter the TM file path in the Describe or browse a file name to descend box, or click the Browse button and select the TM file name.
  8. Clicking the Sort button saves the TM named as "source_file_name_descended.txt", which is sorted in descending order of number of source phrase characters, in the same folder with the TM.
  9. Open the source Excel sheet to be replaced to the translated sentences, and execute from2text.xlsm.
  10. Select the Text => Excel option button in the From or To Text File dialog mentioned before and enter the full path to the TM file which was sorted in descending order of the number of source sentence characters into the Enter or browse a text file path to read from or write into box or click the Browse button and select the TM file name and click the Retrieve texts button, then the source sentences of the Excel sheet will be replaced to the translated sentences based on the sorted and specified TM file.

5-2.　Translation of PowerPoint slide

  1. To translate PowerPoint slide sentences, first download the PowerPoint macro from2text.pptm and double click it.
  2. Clicking Macros on the Developer tab displays the macro name "from2text" in the Macro name box. Clicking Run displays the From or To Text File dialog as shown below.

  3. Copy the source slide you want to translate and paste it on the slide of from2text.pptm.
  4. The path to the from2text.txt file is displayed in the Enter or browse a text file path to read from or write into box to be read the texts from the pasted slide and be saved.
  5. When you change this filename as necessary and click the Retrieve texts button, the texts are read from the PowerPoint slide and saved in the specified text file.
  6. After translating the text file by using Permuter, you will replace the source sentences in the PowerPoint slide into the translated sentences based on the generated TM. Before doing so, however, you first rearrange all the lines of the source-translation sentence pairs of the TM into descending order of the number of source sentence characters. For rearranging, download the executable file sort_descend.exe and double click it, and sort the TM as same the Excel operation mentioned above.
  7. Open the source PowerPoint slide to be replaced to the translated sentences, and execute from2text.pptm.
  8. Select the Text => PowerPoint option button in the From or To Text File dialog and enter the full path to the TM file which was sorted in descending order of the number of source sentence characters into the Enter or browse a text file path to read from or write into box or click the Browse button and select the sorted TM file name and click the Retrieve texts button, then the source sentences of the PowerPoint slide will be replaced to the translated sentences based on the sorted and specified TM file.

6.　Uninstallation

Delete the entire folder for Permuter.
Delete the permuter_s1.dotm and pmtrpath.inf files in the C:\Users\username\AppData\Roaming\Microsoft\Word\STARTUP folder.
If you have stored your translation memory, dictionary, glossary in other folders, delete them as necessary.
